Listening to New Messages, Saved Messages and Numeric MessagesWhether
a caller leaves you a voice mail message, or punches in a number that shows up on your
pager, your message center can store them forever.
From the main menu, you can press 1 to Get New Messages. The
system will present to you all of your new Voice Messages, Immediate
Messages, Email Messages, Numeric Messages, and Fax Messages. To listen to new voice mail messages
press 1. As a
time saver, while listening to a voice mail message, you can press the * key to jump back,
or the # key to fast-forward through the message. Each key will take you either 5 seconds
backward or forward through the recording. Once you are done listening, press 3 to
delete the message, press 5 to save it, or press 6 to
permanently save it*. If you would like the system to repeat
information about your message, press 4 to re-play the time and date of your caller
or 7 to play the message again from the beginning.
If there are any pre-paid minutes on your account, you can even call this person back
right from your voice mail! Simply press 2 to make an outbound call and you will be
prompted to enter the area code followed by the telephone number. If you have toll-free
number service, the caller ID information is stored with every incoming call in a call
detail record that is available through your Virtual Office. After you have heard the
voice mail message, you can press 1 to have the system connect you to the caller ID number
stored for that message for instant one-button call-back.
To quicken operations even further, buttons 1,2,3,4,5,7,9, * and # can be pressed at
any time while listening to a voice mail message.
*Permanently saved messages- your mailbox
will store a maximum of 10 messages permanently.
Listening to Deleted Messages and Restoring Deleted
Messages
When a message is deleted from your voicemail, it is kept in a
"temporarily deleted" state until midnight of the same day. After
midnight, the message is permanently removed from the system. To
retrieve a message which has been deleted earlier in the day, press 4
from the main menu to enter the Get Other Messages sub-menu.
Now you can press 1 to hear Saved Messages, 2 for
Permanent Messages, or 3 for your Deleted Messages.
Making Outbound Calls
To make an outbound call at any time, from the Main Menu, press 2. You will be
prompted to enter the phone number you wish to be connected to, followed by the pound sign
(be sure to enter the area code first). Currently we support long-distance calling
throughout the United States and to any toll-free numbers. International calling is
currently not supported. Your pre-paid minutes will also be deducted on a per-minute
basis.
Mailbox Functions
Changing Your Security Code, Recording a Name Announcement and Recording
an Outgoing Greeting
Your mailbox comes with a default greeting and security code, either of which can be
changed at any time. For more instructions on changing your security code, refer to the
previous page of this packet.
There are actually two types of greetings you can have. The first is simply called a
name announcement and is option 2 in the Mailbox Functions menu. The name announcement
option will only give you 5 seconds of recording time, which is enough for you to say your
name. If you have recorded a name announcement, callers will hear the system say "I
am taking a message for (your name announcement)." So for example, if your name is
John Doe, then the system will prompt callers with "I am taking a message for John
Doe." As name announcements leave a brief and professional impression for callers,
many people prefer this method of personalizing their mailbox.
The second type of greeting for callers is one that has been recorded using option 3.
This allows for a longer greeting, up to 3 minutes in length (depending on your voice mail
package) and will begin playing as soon as a caller dials your number. Depending on your
package, callers can also leave messages up to 3 minutes in length.
For either the name announcement or the greeting, if you erase them the system will
prompt callers with the default system greeting. You will not have to re-record a new
greeting or name announcement.
Enhanced Service Menu
Total Calls, Minutes Available, and Call Forwarding
To enter the Enhanced Services Menu, from the Main Menu, press 8.
Outbound calling or Long Distance minutes are sold on a pre-paid basis to our
customers, and time is deducted on a per minute basis. For example, if you place a call
placed from your message center and stay on the phone for 1 minute and 30 seconds, the
system deducts two minutes from the pre-paid minutes that are in your account. To find out
how many outbound calls that have been made from your message center, and a count of how
many outbound minutes remain on your account, from the Enhanced Services Menu, press 1.
Your UMS (Unified Message Service) number also has the ability of
transferring callers to wherever you may be, simply set this up from your message center.
The call-forwarding menu can be accessed using button 3 from the Enhanced Services
Menu. From the Call Forwarding Menu, set up the telephone number you would like to have
your calls forwarded to by using option 5. In order to enable call forwarding, you
must enter a number here, and then use option 2 to activate it. To block your call
forwarding and have your callers sent straight to voice mail, choose option 1. You
can enable or disable call forwarding at any time.
